Website visits and support email
This website and its support email are hosted by Krystal. DigitalOcean is the intended host for the app’s cloud services at launch. The app and its cloud services are still being developed and are not yet available.
Website hosting and logs
Krystal hosts the website files, mailboxes and server logs in London, UK. Website logs include your IP address, visit time, requested pages and browser information. They help run the website, investigate problems and keep it secure.
Our account’s monthly access-log archives are removed when they are more than 90 days old. Other platform logs follow Krystal’s separate security and troubleshooting retention rules.
Support messages and backups
We keep ordinary support emails for up to 12 months after an enquiry is resolved, and delete them sooner when they are no longer needed. Necessary messages may be kept longer for unresolved complaints, disputes or legal obligations. We record a reason and review date for these exceptions.
Krystal makes daily backups in another UK data centre. Information captured in a backup may remain there for up to about 31 days after it is deleted from the active service.
Email delivery and overseas processing
Outgoing support emails pass through MailChannels for spam checks and delivery. This involves the message and delivery details, such as sender and recipient addresses and IP addresses. Processing can take place outside the UK, including in the United States.
Krystal states that overseas processing uses UK adequacy arrangements or approved data-protection contracts. For information about these safeguards and how to obtain a copy, email support@myshiftpattern.com.
MailChannels publishes a 35-day period for delivery logs, although its terms allow some older logs to remain in archival storage. These delivery records are separate from the support emails we keep.
Why we use this information
We use your contact details and messages to answer enquiries, and technical logs to run and protect the website and email service. We rely on our legitimate interests in providing reliable support and keeping these services secure. We also use information where needed to meet legal duties, including responding to data-protection requests.
Local app use
At launch, the app will store core shift planning locally and you will be able to use it without a cloud account.
If you choose to display calendars from your device, Apple’s calendar permission controls will apply. My Shift Pattern will not include their events or calendar selections in cloud backup, synchronisation or sharing.
App Store purchases and advertising choices will be separate from cloud consent.
Website and app advertising at launch
This website does not display adverts or use advertising trackers. My Shift Pattern is being prepared for an initial UK launch for workers aged 16 and over. At launch, the Free app will display advertising. Pro and the separate Remove Ads purchase will be ad-free. The app’s advertising choices and privacy information will be provided before its release.
Cloud services at launch
At app launch, Pro will include cloud backup, automatic synchronisation, backup history and calendar sharing. These app features are being developed and are not yet available to customers.
See the complete Pro feature catalogue for the launch offering.
Cloud backup and synchronisation will start switched off. You will choose separately whether to enable each service. Signing in alone will not start an upload.
What backup and synchronisation will include
If you enable cloud backup or synchronisation, these services will include your shift patterns, shifts and custom shifts, together with shift notes, absence notes, pay information, history, currency and saved report settings.
Protection and recovery at launch
At app launch, all app content included in cloud backup and synchronisation will be encrypted on your device before upload. This includes shifts, patterns, notes and pay information. Recovery through your account will be available without requiring you to keep a recovery code. Signing in alone will not unlock encrypted calendar data.
The security and account recovery features are still being developed and will be tested before the app launches.
Backup history at launch
At app launch, backup history will keep up to seven completed backups. This will include the latest successful backup and up to six earlier backups from the last 30 days. While Pro and your account remain active, the latest successful backup will be kept even if it is older than 30 days. After Pro ends, recovery and export of retained data will remain available for 30 days.
Backup frequency at launch
Automatic backups will save changed data at the first available opportunity, then wait at least 24 hours after each successful automatic or manual backup. Back Up Now will let you request a backup sooner. Failed attempts will not restart the wait or replace a successful backup. Timing will depend on connectivity and when iOS allows the app to run.
Read-only sharing at launch
At app launch, sharing will let Pro users invite others to view selected calendars. Viewers will need to sign in to the invited account, but will not need Pro and will not be able to edit your calendar. Shared entries will show dates, times, time zones and Busy by default. You will be able to choose to include shift names after previewing what will be shared. Notes, pay information, private pattern definitions and device-calendar content will not be shared.
Invitations will allow seven days for acceptance. An accepted share will not expire after seven days. Offline viewing will last for up to seven days after the last successful online permission check. You will be able to stop sharing even if your Pro access has ended. Once stopping a share is confirmed, future access through the service will be blocked. An offline viewer may still see a previously received copy until the app checks access again or the offline period ends. Screenshots, exports and information already seen cannot be recalled.
